1. Our commitment
Little Voices Advisory is a child safety and digital safeguarding consultancy. We advise organisations on how to protect children's personal information. We hold ourselves to the same standard we ask of our clients.

Little Voices Advisory currently falls below the annual turnover threshold at which the Privacy Act 1988 (Cth) automatically applies. We do not rely on that exemption. We have chosen to comply with the Privacy Act 1988 (Cth) and all thirteen Australian Privacy Principles as though we were fully covered by them, and we will continue to do so as our business grows.

This policy explains what personal information we collect, why we collect it, how we look after it, and what you can do about it. It is written in plain language on purpose. If anything here is unclear, contact us and we will explain it.

2. Who this policy applies to
This policy applies to personal information we collect from:
• Visitors to littlevoicesadvisory.com
• People who contact us by email, phone or through our website
• People who subscribe to our updates, blog or notifications
• People who complete our surveys or enter our prize draws
• Client organisations and the individuals who work with us on an engagement

3. Information about children
Our website and our services are directed at adults: parents, carers, club officials, educators and organisations. Our website is not designed for children and we do not knowingly collect personal information directly from anyone under 18 through this website.

If you believe a child has provided us with personal information through our website, contact us and we will delete it promptly.

Separately, our consulting work sometimes involves reviewing how a client organisation handles children's information. In that work we avoid collecting identifiable information about children wherever possible. Where a client needs us to review real records, we agree the scope in writing first, we use de‑identified samples where they will do the job, we access the information only for the purpose of the engagement, and we return or securely destroy it at the end. Those arrangements are set out in the engagement agreement with the client, who remains responsible for the information as its custodian.

4. What personal information we collect
When you contact us
Your name, email address, phone number, organisation, and whatever you choose to tell us in your message.

When you subscribe to updates or notifications
Your name and email address, and your subscription preferences.

When you complete a survey or enter a prize draw
Your survey responses, and if you choose to enter a prize draw, your name and email address or phone number so we can contact you if you win. Entering the prize draw is always optional. You can complete our surveys without providing any contact details.

Some of our surveys ask about your experiences as a parent or carer, including your views on how your child's sporting club handles photos and video. Answering any individual question is optional.

When you engage us as a client
The names, roles and contact details of the people we work with, correspondence, and information relevant to delivering the engagement. We also keep records required for invoicing, tax and insurance purposes.

When you use our website
Standard technical information collected automatically, including your IP address, browser type, device type, the pages you visit, how long you stay, and the site that referred you. This is collected through our website platform and analytics tools and is used in aggregate to understand how the site is used.

Sensitive information
We do not seek sensitive information as defined in the Privacy Act, such as health information, racial or ethnic origin, or religious beliefs, and we ask that you do not send it to us unless it is genuinely necessary. If a survey ever asks a question that touches on sensitive information, we will say so clearly and answering will always be optional.

5. How we collect it
We collect personal information directly from you: when you fill in a form, send us an email, call us, subscribe, complete a survey, or engage us as a client.

We also collect some information automatically through our website platform and analytics tools, as described above.

Occasionally we collect business contact details from publicly available sources, such as a club's published contact page, so we can get in touch about our services. If you would rather we did not, tell us and we will remove your details.

6. Why we collect it and how we use it
We use personal information to:
• Respond to your enquiry
• Deliver our consulting and advisory services
• Send you updates, resources and blog notifications you have asked for
• Administer surveys and prize draws, including contacting winners
• Analyse survey responses to produce research and published insights
• Understand how our website is used and improve it
• Meet our legal, tax, insurance and record keeping obligations

About our research and published content
When we publish findings from our surveys, we publish them in aggregate and de‑identified form only. We do not publish your name, your contact details, your child's name, or the name of your club in a way that would identify you, unless you have separately given us written permission to do so.

Automated decision making and artificial intelligence
We do not use automated decision making or artificial intelligence to make decisions about you that have a legal or similarly significant effect. We use standard software tools, some of which include artificial intelligence features, to assist with tasks such as drafting, analysis and summarising. Where we do this, a person at Little Voices Advisory reviews the output and remains responsible for it. We do not upload identifiable client or survey information into publicly available artificial intelligence tools.

7. Direct marketing
If you subscribe to our updates, we will send you resources, insights and news about our services. Every message includes a way to unsubscribe, and we will action it promptly. You can also unsubscribe by emailing us.

We do not sell, rent or trade personal information to anyone for marketing purposes. We never have and we will not.

8. Who we share it with
We share personal information only where it is necessary, and only with:
• Service providers who help us run our business. These currently include our website platform (Wix), our survey platform (SurveyMonkey), our email and file storage provider, our analytics provider, and our accounting and payment providers. These providers only handle information for the purpose of providing their service to us.
• Professional advisers, such as our accountant or lawyer, where necessary.
• Anyone you have asked us to share it with, or where you have given consent.
• Where the law requires it, including in response to a court order, a subpoena, or a mandatory reporting obligation.
• Where there is a serious threat to a child. If in the course of our work we form a reasonable belief that a child is at risk of significant harm, we will report that belief to the appropriate authority, which in New South Wales is the Department of Communities and Justice. We will do this whether or not consent is given. This is not negotiable and it is the reason this business exists.

9. Overseas disclosure
Some of our service providers store information on servers outside Australia, including in the United States and the European Union. Wix and SurveyMonkey are both providers of this kind.

Before using a provider that stores information overseas, we take reasonable steps to satisfy ourselves that they have privacy protections comparable to the Australian Privacy Principles. However, once information is held overseas it may also be subject to the laws of that country.

If you would prefer that your information not be handled by an overseas provider, contact us directly by email or phone rather than through our website forms or surveys, and tell us your preference.

10. Cookies
Our website uses cookies, which are small files stored on your device. Some are essential to make the site work. Others help us understand how the site is used, and some are set by our website platform for security and performance.

You can block or delete cookies through your browser settings. Some parts of the site may not work properly if you do.

11. How we protect your information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. In practice this means:
• Multi‑factor authentication on all business accounts
• Strong unique passwords managed in a password manager
• Access limited to the people who need it to do their job
• Encrypted storage and encrypted transmission
• Reputable providers with their own security certifications
• Prompt deletion of information we no longer need

No system is perfectly secure, and we will not pretend otherwise. If a data breach occurs that is likely to result in serious harm, we will assess it promptly, notify affected individuals, and notify the Office of the Australian Information Commissioner where required, in line with the Notifiable Data Breaches scheme.

12. How long we keep it
We keep personal information only as long as we need it.

• Enquiries that do not lead to an engagement: up to 2 years
• Subscriber details: until you unsubscribe
• Survey responses: de‑identified within 12 months of the survey closing, then retained in de‑identified form for research purposes
• Prize draw entrant contact details: deleted within 3 months of the draw being finalised
• Client engagement records: 7 years after the engagement ends, to meet legal, tax and insurance requirements

When information is no longer needed, we destroy it or de‑identify it securely.

13. Accessing and correcting your information
You can ask us at any time to:
• Tell you what personal information we hold about you
• Give you a copy of it
• Correct anything that is wrong or out of date
• Delete it, where we are not required to keep it

Email us at info@littlevoicesadvisory.com. We will respond within 30 days. There is no charge. We may need to verify your identity first, to make sure we are not giving your information to someone else.

If we refuse a request, we will tell you why in writing and explain how to complain.

14. Making a complaint
If you think we have mishandled your personal information, tell us. Email info@littlevoicesadvisory.com with the details.

We will acknowledge your complaint within 5 business days and give you a substantive response within 30 days. We will tell you what we found and what we are doing about it.

15. Changes to this policy
We may update this policy from time to time. The current version is always available at littlevoicesadvisory.com. The effective date at the top tells you when it last changed. If we make a significant change, we will let subscribers know by email.
